Terms and Conditions for Hatch End Carpet Cleaners
These Terms and Conditions apply to all domestic and commercial carpet cleaning services provided by Hatch End Carpet Cleaners. By making a booking, the customer agrees to be bound by these terms, which are intended to set out the rights and responsibilities of both parties in a clear and fair manner. These conditions apply to carpet cleaning, upholstery cleaning, rug cleaning, stain treatment, and any related services agreed in writing or verbally before the visit.
For the purposes of these Terms and Conditions, the words “we,” “us,” and “our” refer to Hatch End Carpet Cleaners, while “you” and “your” refer to the customer, client, occupier, or person arranging the service. These terms are designed to complement any written estimate or service agreement and should be read together with any job-specific instructions provided before work begins.
We reserve the right to amend these Terms and Conditions at any time. Any updated version will apply to bookings made after the date of publication or communication. If a change is required for legal, operational, or safety reasons, the revised terms will take effect immediately for ongoing compliance purposes. Nothing in these terms affects your statutory rights under UK consumer law.
A booking with Hatch End Carpet Cleaners may be made by telephone, email, online enquiry, or any other accepted method of communication. A booking is only confirmed once we have agreed the service details, date, approximate arrival window, access arrangements, and any price or quotation basis. We may request additional information before confirming a visit, including the approximate size of the area, the type of flooring or fabric, and any known stains, odours, or prior treatments.
It is your responsibility to ensure that all information supplied during the booking process is accurate and complete. If the condition of the carpet, rug, or upholstery differs materially from the description given at the time of booking, we may revise the price, adjust the method of cleaning, or decline to proceed if the item is unsuitable for treatment. We may also refuse certain materials or fibres where cleaning could cause damage, colour loss, shrinkage, or other adverse effects.
Any quotation or estimate is based on the information available at the time and may be subject to change if the scope of work changes on arrival. A carpet cleaning service estimate is not a fixed quote unless expressly stated as such in writing. If additional work is required, we will explain the likely impact on price before proceeding where reasonably practicable.
Access to the property must be provided at the agreed time, and you must ensure that the cleaning area is available and reasonably clear of furniture, valuables, fragile items, and obstructions unless otherwise agreed. If we are unable to begin work because of poor access, lack of permission, or incomplete preparation, we may charge a call-out fee or waiting time fee, or reschedule the appointment at our discretion. Repeated cancellations caused by access issues may also result in a requirement for advance payment.
Before work begins, you must inform us of any pre-existing damage, past flooding, insect infestation, structural defects, loose fittings, hidden cables, unstable furniture, or special conditions that may affect cleaning. We are not responsible for issues caused by information that was omitted or withheld. If you ask us to move furniture or other items, you accept that such movement is undertaken at your risk unless we specifically agree otherwise in writing.
We may refuse to clean items where the risk of damage is unreasonably high, where we do not have suitable equipment, or where the conditions are unsafe. In such circumstances, any decision not to proceed will be made in good faith and with reference to the welfare of the property, the item, and our operatives. The customer remains responsible for giving accurate instructions and for ensuring that the property is suitable for the service requested.
Payment terms will be set out at the time of booking or on the invoice. Unless agreed otherwise, payment is due immediately upon completion of the service. We may accept cash, bank transfer, card payment, or another payment method that we approve in advance. For business or larger commercial carpet cleaning jobs, we may require a deposit, part payment, or full prepayment before attendance or before supplies are ordered.
All prices stated are exclusive of VAT unless expressly noted otherwise. If VAT applies, it will be shown separately on the invoice. Promotional pricing, discounts, or special offers are valid only for the period and conditions specified at the time they are offered. Any unpaid sum may be subject to reasonable recovery costs, including administrative charges and statutory interest where permitted by law.
If payment is made by bank transfer, funds must clear within the period stated on the invoice. A receipt may be issued once payment is received in full. Where a payment is declined, reversed, or disputed without proper cause, we reserve the right to suspend future services, recover our losses, and charge any bank or processing fees incurred as a result of the failed transaction.
Cancellations and rescheduling requests should be made as early as possible. If you cancel more than 24 hours before the scheduled appointment, we will normally not charge a cancellation fee unless specific materials, subcontracted labour, or reserved equipment have already been committed to your job. If you cancel within 24 hours of the appointment, or fail to be present when we arrive, a cancellation charge may apply.
If you wish to reschedule, we will try to offer an alternative appointment subject to availability. A late reschedule may be treated as a cancellation if it prevents us from offering the slot to another customer. We also reserve the right to cancel or postpone the service where weather, illness, vehicle failure, equipment breakdown, or other matters outside our reasonable control make attendance impractical or unsafe.
In the event that we cancel a confirmed booking, we will offer a rearranged appointment or, where appropriate, refund any deposit paid for the cancelled visit. We shall not be liable for any loss of earnings, inconvenience, or third-party cost arising from a cancellation or delay caused by circumstances beyond our control, provided we act reasonably and keep you informed where possible.
Service Standards and Customer Responsibilities
Hatch End Carpet Cleaners will carry out services with reasonable care and skill, using methods and products considered suitable for the specific material and condition of the item being cleaned. While we aim to achieve the best possible result, cleaning outcomes may vary depending on age, wear, fibre type, previous treatments, staining, humidity, ventilation, and the structure of the material. No absolute guarantee is given that every mark, odour, or stain will be removed.
You are responsible for ensuring that carpets, rugs, or upholstery are able to withstand professional cleaning. Some items may have hidden defects, colour instability, adhesive failure, or prior damage that becomes visible during or after the process. Natural fibres, delicate fabrics, antique items, and bleach-damaged areas may react unpredictably. You accept that certain risks are inherent in professional carpet cleaners’ work and that no method is entirely free from variation or residual effects.
Where drying times are mentioned, they are estimates only. Drying may be affected by ventilation, temperature, pile depth, and the extent of soil removal. We recommend that treated areas are kept clear until sufficiently dry. Any re-soiling caused by foot traffic before drying is complete is outside our responsibility, particularly where no protective measures have been requested or provided.
Any claim that the service has caused damage must be reported to us as soon as reasonably possible and, in any event, within 48 hours of completion, unless a longer period is required by law. You should allow us a reasonable opportunity to inspect the item, photograph the issue, and investigate the cause before any repair or replacement work is undertaken. Failure to preserve the item or evidence may affect our ability to assess the matter fairly.
Our liability is limited to the direct loss or damage caused by our proven negligence or breach of contract. We do not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation. Subject to those exceptions, we shall not be liable for indirect loss, loss of profit, loss of opportunity, or consequential damage.
Where liability is established, our maximum responsibility for any claim arising from a single service visit shall not exceed the amount paid for the relevant service, unless a greater amount is required by applicable law. This limitation reflects the nature of cleaning work and the fact that many items have pre-existing conditions, hidden defects, or materials that may react unpredictably despite reasonable care and professional practice.
Waste and wastewater from our carpet cleaning services will be handled in accordance with applicable UK environmental and waste regulations. We will take reasonable steps to dispose of waste responsibly, including used materials, packaging, and residues generated during the course of the job. Where a task produces waste requiring special handling, we may decline to remove it unless it is clearly within the agreed scope and lawful to transport.
You must not ask us to dispose of hazardous substances, sharps, medical waste, chemicals, asbestos-containing materials, or other regulated waste unless we have expressly agreed in writing and are appropriately licensed or authorised to do so. If prohibited waste is discovered at the property, we may stop work immediately and charge for time spent attending the site. Any illegal or unsafe instruction from a customer will be refused.
We may use water extraction, detergents, and stain-treatment solutions that produce wastewater. While every effort is made to control runoff and prevent environmental harm, you are responsible for informing us of any drainage restrictions, sensitive surfaces, or special site conditions that could affect disposal or containment. The customer must also ensure that any site-specific waste procedures are explained in advance where relevant.
Liability, Insurance, and Force Majeure
We maintain insurance that we consider appropriate for the type of carpet cleaning service provided, but insurance does not create a guarantee of compensation in every circumstance. If an item is already damaged, unstable, heavily worn, or unsuitable for standard professional treatment, we may ask you to sign a disclaimer or refuse the service. Any such disclaimer will not affect your statutory rights.
We are not responsible for damage caused by pre-existing conditions, unsuitable flooring, defective fittings, or hidden faults not reasonably detectable before work starts. This includes, without limitation, weak seams, loose backing, unstable dyes, brittle fibres, old stains that reappear, and mould or odour issues arising from prior water damage. Our obligation is to use reasonable skill and care, not to guarantee a result beyond the limits of the material.
If an event beyond our reasonable control prevents performance of the service, such as severe weather, fire, flood, accident, emergency restrictions, strike action, or supply failure, we shall not be in breach of contract. We may suspend, delay, or cancel the service and offer a revised appointment. No party shall be liable for delay or failure caused by such circumstances, provided reasonable steps are taken to minimise disruption.
Complaints, Confidentiality, and Data Handling
Any complaint about a carpet cleaning service should be raised promptly and in writing where possible, with enough detail for us to investigate properly. We may request photographs, notes, or access for inspection. We will review the issue fairly and, where appropriate, offer a remedy such as re-cleaning, partial refund, or another reasonable solution. The remedy offered will depend on the circumstances and our findings.
Information obtained in the course of providing services may be used to manage your booking, perform the work, process payment, and maintain records. We will handle personal information in accordance with applicable data protection laws. We only collect and retain data that is reasonably necessary for legitimate business purposes, compliance, and record-keeping, and we do not sell customer data to third parties.
To the extent permitted by law, any confidential information you share with us during the provision of the service will be treated appropriately and used only for service-related purposes. Likewise, you agree not to disclose proprietary methods, pricing arrangements, or operational information belonging to us where such information has been clearly identified as private or confidential.
These Terms and Conditions, together with any written estimate or invoice accepted by you, form the entire agreement between the parties concerning the relevant service. If any provision is found to be invalid or unenforceable, the remaining provisions will continue in force. No failure or delay by either party in exercising any right shall operate as a waiver of that right unless confirmed in writing.
You may not assign your rights or obligations under these terms without our prior written consent. We may assign or subcontract parts of the service where reasonably necessary, provided that doing so does not reduce the standard of care owed to you. Any subcontractor engaged by us will be required to follow suitable instructions and quality standards relevant to the work.
The fact that we may provide a goodwill gesture, discount, or one-off exception does not mean we have waived any right under these Terms and Conditions. Any such concession is made without prejudice and does not alter the underlying contract. These provisions apply equally to all carpet cleaners acting on behalf of Hatch End Carpet Cleaners and to all persons authorised to carry out work on our behalf.
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with the service, the booking, or these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where consumer law provides otherwise. This governing law clause applies regardless of where the service is performed within the United Kingdom.
By confirming a booking with Hatch End Carpet Cleaners, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. If you are booking on behalf of another person, you confirm that you have authority to do so and that you will pass on any relevant information, instructions, and obligations to the actual user or occupier of the property.
These terms are intended to create a balanced and professional framework for the provision of carpet cleaning services, rug cleaning services, and related treatments. They aim to protect both the customer and the company by clearly explaining the booking process, payment expectations, cancellation rules, liability boundaries, waste handling obligations, and the legal framework that governs the contract.
